Venue capacity is only one part of the choice. Consider arrival, registration, stage sightlines, dining service, movement between tables, accessibility and the space required by production teams. The best room is the one that supports the entire event journey.
Build the menu around the timetable. Guests should not wait through long transitions while service teams reset the room. Share speeches, performances and technical cues with the banquet team so each course arrives at the right moment.
Finally, establish one approved contact on each side. A single decision path reduces confusion and gives the hotel team the authority to resolve small issues quickly. Good coordination is what allows the host to be present.
